Billing & Payment Configuration
Configure usage billing, credits, and payment processing in StudioShopOS. Set up automated invoicing and payment collection.
Connect Stripe Account
Link your Stripe account to enable payment processing. StudioShopOS uses Stripe for secure, PCI-compliant payment handling.
- Navigate to Billing & Payments > Settings
- Click 'Connect Stripe Account'
- Sign in to your Stripe account or create one
- Authorize StudioShopOS to access your Stripe account
- Verify connection status in dashboard
Configure Usage-Based Billing
Set rates for equipment usage. Members are automatically charged based on time, material, or job type.
- Go to Billing > Usage Rates
- Select equipment type (e.g., 3D Printer, Laser Cutter)
- Set billing method: per hour, per job, or per material
- Enter rate (e.g., $5/hour, $2 per print job)
- Configure minimum charges or setup fees
- Set different rates for different membership tiers if applicable
Set Up Membership Subscriptions
Configure recurring membership fees. Members can subscribe monthly or annually with automatic billing.
- Navigate to Billing > Memberships
- Create membership tiers (e.g., Basic, Pro, Enterprise)
- Set monthly and annual pricing for each tier
- Configure included benefits (free hours, discounts)
- Set up automatic renewal and billing cycles
- Configure proration rules for upgrades/downgrades
Configure Credit Systems
Set up prepaid credits for members. Credits can be purchased and automatically deducted for usage.
- Go to Billing > Credits
- Enable credit system for your studio
- Set credit packages (e.g., $50 for 10 hours)
- Configure automatic top-up when credits run low
- Set credit expiration rules if applicable
- Define credit-to-usage conversion rates
Set Up Automated Invoicing
Configure how and when invoices are generated and sent to members.
- Navigate to Billing > Invoicing
- Set invoice frequency (immediate, daily, weekly, monthly)
- Configure invoice templates and branding
- Set up automatic email delivery
- Configure payment reminders and late fees
- Set up tax calculation if needed
Configure Payment Methods
Set which payment methods members can use and configure payment rules.
- Go to Billing > Payment Methods
- Enable payment methods (credit card, ACH, etc.)
- Set minimum payment amounts
- Configure payment processing fees if applicable
- Set up payment method requirements for bookings
- Test payment processing with a test transaction
Billing Models
Choose the billing model that works best for your studio
Pay-Per-Use
Members pay only for what they use. Best for occasional users or studios with high equipment costs.
Benefits:
- No upfront commitment from members
- Fair pricing based on actual usage
- Easy to understand
Membership + Usage
Members pay a monthly fee plus usage charges. Best for regular users who want some included benefits.
Benefits:
- Predictable revenue from memberships
- Members get value from included benefits
- Usage charges cover equipment costs
Credit System
Members purchase credits in advance, which are deducted for usage. Best for studios wanting prepaid revenue.
Benefits:
- Prepaid revenue improves cash flow
- Simplifies billing for members
- Can offer discounts for bulk credit purchases
