Complete guide to setting up your studio operations in StudioShopOS. Follow these steps to get your makerspace running smoothly.

Create Your Account

Sign up for your 7-day free trial. No credit card required. You'll receive a verification email to activate your account.

  • Enter your email address on the sign-up page
  • Verify your email address via the link sent to your inbox
  • Complete the onboarding form with your studio information
  • Access your dashboard to begin setup

Add Your Equipment

Register all equipment that requires booking, training, or usage tracking. This includes 3D printers, laser cutters, CNC machines, and other tools.

  • Navigate to Equipment in your dashboard
  • Click 'Add Equipment' for each piece
  • Enter equipment name, type, and location
  • Set booking rules (advance notice, duration limits)
  • Configure usage tracking if needed

Set Up Members

Import or manually add your members. Configure membership tiers, payment methods, and access levels.

  • Go to Members section
  • Import from CSV or add manually
  • Set membership tiers (if applicable)
  • Configure payment methods
  • Assign initial access levels

Create Training Tracks

Define training requirements for equipment. Members must complete training before booking or using equipment.

  • Navigate to Training & Certifications
  • Create a training track for each equipment type
  • Add required modules (safety, operation, maintenance)
  • Set certification requirements
  • Configure automatic certification upon completion

Build Space-Specific Protocols

Create protocols for each space or equipment type. Protocols guide members through proper usage and safety procedures.

  • Go to Protocols section
  • Click 'Create Protocol'
  • Use the visual builder to add steps
  • Include checkpoints, photos, and notes
  • Assign protocols to specific equipment or spaces

Configure Billing

Set up usage-based billing, membership subscriptions, and payment processing. Connect your Stripe account for automated payments.

  • Navigate to Billing & Payments
  • Connect your Stripe account
  • Set usage rates for each equipment type
  • Configure membership subscription pricing
  • Set up credit systems if needed
  • Test payment processing

Set Up Booking Rules

Configure booking policies, advance notice requirements, cancellation rules, and no-show policies.

  • Go to Settings > Booking
  • Set advance booking limits
  • Configure cancellation policies
  • Set up automatic reminders
  • Define no-show penalties

Invite Your Team

Add staff members and assign roles. Configure permissions for different staff levels.

  • Navigate to Staff & Roles
  • Invite staff members via email
  • Assign roles (Admin, Manager, Staff)
  • Configure permissions for each role
  • Set up approval workflows if needed
